The Assistant Property Manager (APM) position is an ideal role for a candidate interested in growing their real estate and property management career. The APM supports Property Managers with day to day duties including; but not limited to; tenant relationships, maintenance administration, rent collection, data inputting, general property management, and reporting. An ideal candidate for APM would have experience with Property Management software, such as AppFolio.
Essential Functions:
- Maintain a positive and customer-focused attitude in all interactions.
- Collaborate with Property Managers on day-to-day tasks.
- Strive for continuous improvement in work processes to exceed client expectations.
- Bid for repairs and maintenance, keeping accurate records of property conditions.
- Coordinate insurance documentation with tenants, insurance agents, and Property Managers.
- Maintain complete and accurate property files and records using AppFolio.
- Coordinate revenue collection and documentation, ensuring the accuracy of rent roll.
- Manage activities related to property management but not directly controlled by the Property Manager.
- Address tenants' needs in line with company procedures.
- Utilize technology and software for efficient task management.
- Submit A/P invoices for payment and handle all funds.
- Ensure the safety and security of assigned properties.
- Meet community, property, management, and client expectations.
- Submit paperwork, invoices, and documentation promptly.
- Maintain an organized key tracking system in AppFolio.
- Provide quality customer service to tenants, clients, and the public.
- Schedule and meet with prospective tenants, vendors, and Coastline Equity staff.
- Enforce rental agreement terms and oversee rental proceedings.
- Comply with safety regulations and maintain clean work areas.
- Establish collaborative relationships between departments and project teams.
- Stay updated on new technologies, systems, and procedures related to property management.
Requirements
- Bachelor's or technical degree in administration or related fields.
- Previous experience in property management, inspection, maintenance, or related roles.
- Familiarity with property systems and policies in the USA preferred.
- Strong communication skills, both verbal and written.
- Proficiency in using Property management software, preferably AppFolio.
- Attention to detail and organization skills.
